Executive Assistant

Job duties

  • Maintain daily appointments and travel arrangement 
  • Coordinate regular meetings, provide administrative support as required e.g. minutes taking & circulation of materials, follow up actions, etc.
  • Ensure the right people are involved in all meetings and the participants are fully briefed, in liaison with other Executive Assistants
  • Handle business correspondences, prepare for presentation materials, and researching
  • Act as primary point of contact for communications
  • Interact with clients with courtesy & professionalism and offer the highest level of service quality
  • Other ad hoc projects assigned 


  • Minimum 5 years’ practical experience in an administrative and secretarial support
  • Ability to work collaboratively
  • People sensitive, self-directed, pro-active and positive can-do spirit
  • Be well-organized and strong in following up to get tasks completed
  • Be attentive to detail and able to work to tight deadlines
  • Excellent communications skills and interpersonal skills
  • High ethical standards and customer-service oriented
  • Demonstrated ability to multi-task and prioritize
  • Self-motivated, mature and ability to remain calm in stressful situations and fast-paced environment
  • Excellent spoken and writing skills in English and Chinese
  • International cultural awareness
  • Proficient in using Microsoft Office and managing database/system
