TELEPHONE BID COORDINATOR

The Role

This role is responsible for understanding and assisting with the execution of all bidding channels with an emphasis on telephone bids.  This person will serve as primary point of contact for telephone bids, both internally and externally. Duties to be performed in full compliance with department standards, including teamwork, high level of client service, accuracy, attendance and punctuality.

Specific duties & responsibilities will include but are not limited to
  • Process telephone bids received via fax, email and specialist departments 
  • Represent initial stage of credit authorization and gather and monitor AML compliance information.
  • Master Christie’s systems (E-mail, COS, JDE, Live Bid Management and telephone bid application)
  • Accurately enter all bids into telephone bidding system 
  • Allocate bids, accommodating special requests (i.e. languages) 
  • Collaborate with specialists and business managers to schedule adequate number of staff members for each sale
  • Maintain a working knowledge of colleagues who are trained telephone bidders and any language availabilities 
  • Assist in the training course and subsequent scheduling of all new telephone bidders, being sure to preserve all pertinent distribution lists
  • Assist manager with investigation of post-sale discrepancies
  • Communicate with specialist departments to ensure proper auction procedure as well as relevant pre and post-sale data
  • Perform all activities according to Christie’s Client Service Standards
  • Assist in monitoring department inboxes, as well as fax and phone line
  • Other duties as assigned by Manager
The Candidate
  • Excellent ability to remain calm and focused under pressure
  • Bachelor’s degree preferred, or equivalent work experience
  • Proficiency with numbers - reading, writing, hearing
  • Willingness to comply with department and company standards of client service
  • Excellent ability to multi-task and prioritize, demonstrating excellent organizational skills
  • Strong follow-up skills with attention to detail
  • Superior communication and interpersonal skills
  • Knowledge of E-mail, Spreadsheet, and Word Processing software (Microsoft Office preferred)
  • Ability to learn Christie’s systems including email, Client Management System, JDE, Live Bid Management, telephone bid application and website features
  • Strong teamwork abilities
  • Reliable attendance and punctuality
  • Flexible work hours (i.e. 7:30 am start time on sale days, some Saturday sales, some late evenings, some Sunday prep for occasional Monday sales)
  • Second language a plus
